bauxite ore procurement procedure
role: facilitator between certified bauxite mining companies in guinea and international buyers.

step by step trading procedure

1. buyer’s letter of intent (loi)
the buyer submits a formal loi addressed to seller or the supplier, including:
quantity required (mt/month)
target price or acceptable range
port of destination
contract duration (spot or long term)
specifications (e.g. al2o3 %, sio2 %, moisture, etc.)
payment terms (lc, sblc, tt)
readiness to travel for inspection and signing

note: soft offer available on request before loi submission.

2. offer & draft contract
upon acceptance of the loi:
seller submits a full corporate offer (fco) or soft offer with indicative terms.
a draft sales and purchase agreement (spa) is shared with buyer for review.

3. negotiation & finalization
terms such as pricing, delivery schedule and quantity. final spa is signed electronically by both parties.
buyer confirms intention to travel to guinea (if applicable).

4. on site visit & cargo inspection
at buyer’s request:
seller organizes an on site visit to guinea, including:


mine/cargo yard inspection
laboratory testing (if needed)
verification of licenses and documentation
assistance with:
visa support
lodging and local logistics coordination
security and translation services

all travel expenses borne by the buyer.

5. contract signing in guinea
official physical contract signing between buyer and seller.
option to sign in guinea during inspection or remotely (with notarization if required).

6. payment instrument issuance
buyer issues one of the following (as per spa):
irrevocable confirmed documentary letter of credit (lc)
standby letter of credit (sblc)
telegraphic transfer (tt) – depending on volume and agreement

7. logistics & shipment
seller arranges loading, shipping, and export documentation:
bill of lading (b/l)
certificate of origin
sgs or bureau veritas quality report
packing list & commercial invoice
seller monitors shipment updates and ensures transparency.

8. commission payment
a $2/mt commission for all intermediaries or facilitators (buyer and seller side) commission structure can be negotiated and formalized in a commission agreement.



9. ongoing support
for long term contracts, seller continues to support logistics, quality assurance, and any dispute resolution.
regular updates and renewal support at contract end.
